Accounting Assistant

Position Summary:  

The role of the Accounting Assistant involves providing financial, administrative, and clerical support to the organization. The role involves a range of accounting assistant duties, including billing for tuition and other fees, processing receipts and deposits, preparing vendor invoices for payment, and other accounting tasks, while following the methods, processes, and procedures established by the school. The Accounting Assistant is the first line of communication for a high volume of the school’s receivables, payables, and other business inquiries. The school is continually implementing new technology systems to manage and track accounting and financial data and this person needs to be adept at learning and utilizing new technology systems effectively.

  • Timely and accurately bill for tuition and other fees, including adjustments for mid-year enrollments and withdrawals and other situations requiring billing changes

  • Process receipts, apply payments to accounts, and prepare bank deposits while safeguarding all cash, checks, and other financial resources until they are deposited in the bank

  • Correspond with the school community regarding billing inquiries and collection efforts for past-due accounts

  • Process invoices, employee reimbursements, and other payment requests in accordance with the school’s policies to ensure proper approvals and coding and that payments are made timely

  • Administer the school’s PCards and credit cards, confirming transactions are timely and accurately coded and appropriate receipts or other supporting documentation is maintained

  • Correspond with vendors regarding invoice payment inquiries and other matters

  • Maintain proper supporting documentation of all transactions

  • Assist with error checks, audits, and resolving discrepancies

  • Prepare routine and ad hoc reports and analysis and spearhead one-off projects 

  • Work with a variety of school department personnel

  • Proactively identify workflow process improvements, including utilizing technology and other innovations

  • Perform tasks such as filing, data entry, answering the phone and emails, and processing mail

  • Other duties as assigned

Minimum Qualifications:

  • Associate’s Degree in Accounting or related field

  • Minimum of 2 years of experience in bookkeeping/accounting or similar business office environment may replace degree requirements

  • Experience in school or service-related industry a plus

  • General accounting and business office knowledge

  • Knowledge and quick learner of accounting and technology systems

  • Strong user of Google Workspace (Gmail, Sheets, Forms, Docs, etc…)

  • Resourcefulness in solving problems and proactive mindset to create efficiency in work flow

  • Excellent people skills and an upbeat and enthusiastic attitude

  • Sincere commitment to work collaboratively with all constituent groups, including all staff levels, families, donors, and external vendors

  • English proficiency with excellent verbal and written communication skills

    • Level B2 required, C1+ preferred (based on Common European Framework of References for Languages) or equivalent certification such as TOEFL or IETLS.

  • Demonstrate a commitment to diversity, equity, inclusion, and belonging through continuous development, modeling inclusive behaviors, and proactively managing bias.

  • Eagerness to engage with co-curricular, extra-curricular, school community, and PTO activities that promote the school’s programs and reputation

Physical Demands:

  • Regularly lift and /or move up to 10 pounds

  • Occasionally lift and/or move up to 25 pounds

  • While performing the duties of this job, the employee is regularly required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee may occasionally be required to bend, stoop or kneel. 


Location and Schedule:  Expected work hours are 7:30am-4pm, M-F. This job does have limited remote work flexibility. All employees must be based in or around Denver, CO.
