School Administrative Coordinator

March 1, 2025 - June 30, 2026

The School Administrative Coordinator is responsible for managing all activity at The Logan School’s front desk, including but not limited to fielding phone calls, responding swiftly to staff and family requests, taking attendance, greeting visitors, and maintaining records and databases. In addition, the person in this position may be asked to assist senior administrators and the Head of School, as needed. The individual who will thrive in this role can remain calm, acknowledge concerns, and resolve issues or direct them to the correct person for resolution while maintaining a professional and friendly demeanor. A person who is successful in this position is reliable, competent, discreet, and has a high bar of professionalism as they are the face of the school. This position requires on-site presence and reports to the Director of Finance and Operations.

Responsibilities:

Front Desk Duties

  • Provide outstanding customer service to our community 

  • Maintain knowledge of school happenings and school calendar to answer questions related to the activities of the school 

  • Meet, greet, and track the presence of visitors, parents, and students for security purposes

  • Maintain current log of student schedules to provide information on student whereabouts when asked

  • Administer first aid and prescription medications to students to provide emergency or necessary care following regulatory practices

  • Maintain and track student medical health and immunization records

  • Student medication check-in and check-out: ensuring student medications are accurately cataloged and current

  • Point of contact for nurse consultant and scheduling staff training

  • Taking and disseminating messages to staff and faculty in a timely manner

  • Distribute mail, incoming materials, packages, supplies, messages, etc., to the appropriate personnel

  • Facilitate the procurement and organization of school supplies

  • May assist the Head of School and senior administrator with scheduling appointments and meetings, drafting basic communication, proofreading, and clerical support

Record Keeping & Systems

  • Data entry and keeping information current in the school information system (Blackbaud) as needed

  • Data entry and upkeep of records in auxiliary information tools

  • Schedule Student/Parent/Teacher conferences (3x per school year)

  • Create and maintain the family directory

  • Maintain school calendars

  • Maintain inventory of supplies and materials (e.g. forms, office supplies, etc.) and ensure supplies are readily available

  • Organize and maintain student forms, student reports, and cumulative files for various school programs

  • Update student attendance records 

  • Provide faculty and staff support as needed

  • Assist admin colleagues with the preparation and planning of school events

  • Other duties as assigned

Required:

  • Experience with a front-facing customer service role

  • Familiarity with Google Suite, printers and comfortable navigating digital systems and information management tools

  • Ability to pass a background check and drug screening test

  • Valid Colorado driver’s license 

  • CPR/First Aid certified and medicine administration trained or willingness to be trained

Preferred Qualifications:

  • College degree or equivalent experience

  • Experience in school environment preferred

  • Familiarity with Blackbaud Education Management System

Status:

The School Administrative Coordinator is a full-time, salaried, non-exempt position. This is an on-site role on a 12-month calendar.

Direct Supervisor: This position requires on-site presence and reports to the Director of Finance and Operations.

Compensation:

The position is on-site, full-time, 40 hours a week, with benefits including health, retirement, and paid vacation. The pay range is from $42,000-$52,000. 

Hours:

Compensation is calculated based on eight hours of work and half an hour for lunch each day. However, regular hours shall be from 8:00 AM to 4:00 PM, which only accounts for seven and one-half hours per day. The School reserves the right to request up to two and one-half hours of work per week when the workload requires it. Adequate notice (at least a day ahead of time and more if possible) will be given if staying beyond 4:00 PM is required.
