Annual Giving and Events Manager (English)

Job Description

Working at Escuela de Guadalupe includes many different responsibilities to make a small, financially accessible school run effectively.  As a close-knit community, we all pitch in to make this a great place to work and learn.  Therefore, this description is not intended to be all- inclusive. Specific areas of responsibilities include but are not limited to the following:

Responsibilities

  • This role serves as an external facing position that supports the philanthropy and admissions teams
  • This role also includes managing all alumni relations programming. 

 

Philanthropy Support

  • Assist with overall development effort, including and especially development of the school’s annual fund program, the student sponsorship program, and alumni relations
  • Communication with Donors/Prospects/Alumni
  • Build and steward relationships with philanthropic partners by managing:  
    • One-on-one touchpoints
    • Student sponsorship program
    • Direct mail
    • CO Gives Day
    • Alumni Newsletters
  • Align development news with marketing initiatives to have regular consistent communication with partners/alumni.  
  • Assist with storytelling and sharing of the mission
  • Support Director of Philanthropy for special giving projects, i.e. Girls on the Run, Teacher Appreciation email campaign
  • Assist with database maintenance
  • Provide administrative support for the Philanthropy team

 

Special Events

  • For all philanthropy, admissions and alumni events responsibilities include: vendor relations, contract negotiations, budgeting, timelines, logistics, materials, volunteers, planning and leading monthly committee meetings, and working with all parties day-of to ensure a smooth and successful event 
  • Manage 3 annual philanthropy events—Salud gala, One Child At A Time breakfast event, Golf Tournament— including sponsorships, committee recruitment and meetings
    • Additionally support the Escuela 101 events held monthly at the school.
  • Support admissions events – Open House, school fairs and showcases, community outreach and speaking engagements
    • Have an understanding of the program and admissions process to engage with potential families and answer questions
  • Alumni relations & young professional – networking happy hours, partnership opportunities (i.e. workout classes, brewery tasting)
  • Organize and manage students to attend ACE events on behalf of Escuela
  • Coordinate post-event follow up for all events

 

Volunteer Program

  • Coordinate volunteer program throughout the school including: recruiting, teacher placements, trainings, background checks, orientation.
  • Organize volunteer luncheon/breakfast appreciation.
  • Manage relationships with High School partners and student volunteer hours/opportunities.

Requirements

 

Skills and Qualifications

Required Qualifications:

  • Bachelor’s degree in communications, event management or related field OR 3 years of professional experience
  • Excellent planning and organizational skills
  • Strong interpersonal and written communication skills
  • Excellent language skills:  English 
  • Experience with a range of computer applications including: electronic communications programs including websites and social media, MS Office Suite,  donor-database software, Adobe, as well as Google email, documents, and drive applications. 
  • Reliable, strong work ethic and able to work independently
  • Ability to be a creative thinker, energetic and demonstrate enthusiasm and leadership
  • Ability to write concisely, compile and/or edit materials
  • Skills in collaboration and teamwork
  • The ability to be flexible and adaptable
  • Able to adapt to the work environment and deal with frequent change, delays, or unexpected events.
  • Entrepreneurial with a self-led attitude
  • Successful completion of CBI and FBI background check.

Preferred Qualifications:

  • Highly proficient computer skills including Adobe Suite, MS Word, Excel, Canva and PowerPoint.
  • Expert knowledge of general office procedures, protocol and professionalism; expert knowledge of Business English, spelling, punctuation and grammar. 
  • Ability to manage multiple tasks simultaneously, adapt to changing priorities, manage time efficiently and meet deadlines. 
  • Proven ability to work in a team environment, develop effective interpersonal relationships, provide superior customer service, and communicate verbally and in writing. 
  • Competent data entry skills with ability to input information accurately; prepare and maintain detailed records, files, and reports on an ongoing basis
