Gift Processor and Database Coordinator

Fountain Valley School, a selective and diverse boarding school, educates 250 students in grades 9–12 on a beautiful 1,100-acre campus in Colorado Springs, CO. Founded in 1930, the School provides a rigorous, global curriculum in academics, arts, athletics, and the outdoors. 

The Opportunity: 

The Gift Processor and Database Coordinator reports directly to the Director of Development Operations and will support the Development Office in various ways throughout the year to help advance the mission of Fountain Valley School. This role will be responsible for gift processing, operations of the database to support fundraising efforts, prospect research and ensuring accurate and up-to-date records in the database.

Duties and Responsibilities Include:   

  • Enters gifts accurately and timely into the database per development office policy and procedures. 
  • Generates gift reports for the development office and the business office.
  • Generates gift acknowledgements for donors in a timely fashion and sends them to donors.
  • Ensures proper donor record management including ongoing and as needed updates to constituent records.
  • Assist with donor relations, responds to general donor inquiries and maintains accuracy of constituent database records.
  • Creates pledge reminders and sends them to donors.
  • Conducts financial reconciliations with the Business Office.
  • Updates and maintains online giving platforms.
  • Generates lists as needed for communications, marketing, and fundraising programs.
  • Assists with all development office mailings
  • Conducts prospect research on donors and prepares donor profiles, as needed
  • Runs database screenings for update addresses and wealth ratings
  • Prepares materials and pulls list for the Annual Report.
  • Generates accurate data reports to provide insights on fundraising progress, donor trends, and campaign effectiveness.
  • Collaborate with the IT department to troubleshoot technical issues and implement enhancements to the database system.
  • Coordinate production of donor recognition walls, plaques, and other methods of recognition.
  • Manage Donor Search wealth profiling database.
  • Provide administrative support for fundraising initiatives, including maintaining donor correspondence, and tracking fundraising progress.
  • Assist in the planning and execution of fundraising events, campaigns, and appeals.
  • Creates annual endowment impact reports and manages accurate grant reporting timelines.
  • Assist in communications with volunteers (Class Agents, Parent Ambassadors, and Trustees) as needed.
  • Supports the development team in prospect research, including wealth screenings and donor prospecting and prepares donor profiles as needed.
  • Imports fundraising solicitor assignments and proposals.
  • Oversee all department files, department mailings, order department office supplies, and submit work orders for office repairs as needed.
  • Performs other duties as assigned.

Qualifications and skills:

  • Bachelor Degree required
  • Proven experience in database management, preferably in an educational institution
  • Familiarity with fundraising principles and practices, including donor stewardship and gift processing.
  • Strong analytical skills with the ability to interpret data and generate meaningful reports.
  • Expertise in Microsoft Word, Excel, Google Suite, mail merges, and data input. Blackbaud Raiser's Edge experience required.
  • Excellent written and verbal expression, experience in proofreading and editing
  • Strong organizational skills and attention to detail and accuracy in data entry and record keeping
  • Ability to manage multiple projects, meet deadlines, and prioritize among assignments
  • Ability to work independently and as an effective team player
  • Demonstrated commitment to maintaining donor confidentiality and handling sensitive information ethically.

Working Conditions:

  • Environment: indoor office working with some outdoor events
  • Physical demands: able to sit and stand for at least 8 hours per day; occasional after hours, weekend and/ or weeknight obligations. Must be able to lift 40 lb.
  • Attendance at certain events will be required
  • Working relationships: students, parents, outside vendors and all other employees 

Salary Range: $45,000 - $50,000 depending on experience and degrees
